Registration Terms and Conditions

1. Registration Process  

1.1 By registering for the Victorian Healthcare Association (VHA) Conference, delegates agree to comply with these  terms and conditions. 

1.2 All registrations must be completed online through the official conference website. 

1.3 Registration is only confirmed upon full payment of the applicable registration fee. 

1.4 Payment must be made via the accepted payment methods specified during the registration process. 

1.5 The Victorian Healthcare Association reserves the right to refuse or cancel registrations at its discretion. 

 

2. Registration Fees  

2.1 Conference registration fees include: 

  • Access to all conference sessions. 
  • Scheduled catering (lunch and refreshment breaks). 
  • Networking opportunities. 
  • VHA Member CEO and Board Chair Dinner and VHA Member CEO Breakfast, for appropriate VHA member registrations only (e.g., CEO and Board Chairs). 

2.2 Fee categories: 

VHA Member rate and early bird rate:

To maintain eligibility for this rate, membership must be current at time of purchase through to conference date. Should membership be withdrawn before conference, delegates

will be invoiced the difference between member and non-member rates. 

Non-member rate:

Non-members registering at the VHA member rate will be invoiced for the shortfall.

Non-payment of the shortfall will result in the registration being cancelled, and refunds provide in line with the cancellation timeframes (3.1) ).

2.3 Payment methods: 

  • Credit card (Visa, MasterCard). 
  • Invoice (for members only group registrations). 

2.4 All fees are in Australian Dollars (AUD) and are inclusive of GST. 

 

3. Cancellation and Refund Policy  

3.1 Cancellation Timeframes: 

  • Registration cancellations before 16/07/26 are eligible for a full refund. 
  • Registration cancellations from 16/07/26 and 15/09/26 will incur a 50% cancellation fee. 
  • Registration cancellation from the 15/09/26 are not eligible for a refund. 

3.2 Substitution delegates are permitted at no additional cost, pending substitute delegates meets purchased registration fee eligibility. Substitute delegates not meeting original registration eligibility will be invoiced or refunded the difference in rates. 

3.3 All cancellations and delegate substitutions must be submitted via email to conference@vha.org.au by the 19 October 2026. 

 

4. Program Changes 

4.1 The conference program is subject to change without prior notice. 

4.2 The VHA reserves the right to modify, reschedule, or cancel any part of the conference program without liability. 


5. Privacy and Data Protection  

5.1 Personal information collected during registration will be handled in accordance with the Australian Privacy Principles. 

5.2 Delegates consent to: 

  • Being photographed or recorded during conference sessions for promotional and archival purposes (Delegates who do not wish to be photographed or recorded must inform the organisers in writing in advance of the conference commencing). 
  • Receiving pre and post-conference communications from the VHA. 

5.3 Delegates can opt-out of communications at any time. 

5.4 Delegates can opt-in to share their contact information with sponsors and exhibitors in order to receive communications from them. 

 

6. COVID-19

Considerations  

6.1 Delegates must comply with current public health guidelines at the time of the conference. 

6.2 The VHA reserves the right to: 

  • Modify conference format (in-person, hybrid, or virtual). 
  • Implement health and safety protocols. 
  • Postpone or cancel the event if required by health authorities. 

 

7. Liability and Insurance  

7.1 The VHA is not liable for: 

  • Personal injury. 
  • Loss or damage to personal property. 
  • Travel or accommodation-related issues. 
  • Indirect or consequential losses. 

7.2 Delegates are advised to have appropriate personal and professional insurance. 

 

8. Intellectual Property  

8.1 Conference materials are the intellectual property of the VHA and presenters. 

8.2 Reproduction, distribution, or sharing of materials without explicit permission is prohibited. 

 

9. Accessibility  

9.1 The VHA is committed to providing an inclusive conference experience. 

9.2 Delegates with special requirements are able to submit their requirements during the registrations process to ensure appropriate accommodations are arranged. 


10. Governing Law  

10.1 These terms are governed by the laws of Victoria, Australia. 

10.2 Any disputes will be resolved through mediation or appropriate legal channels in Victoria. 


11. Force Majeure  

11.1. The VHA shall not be held responsible for any cancellation or disruption caused by circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, strikes, or government restrictions. 


By completing the registration process, you acknowledge that you have read, understood, and agree to these terms and conditions.
